In an ongoing effort to provide reliable, high-quality products and services, SAVVIS Digital Content Services periodically "sunsets" (also known as retires) older applications and services. This process allows us to focus our resources on the continued development of new and enhanced products and services. The WAM!NET® WorkSpace application component of the WAM!NET® Remote Storage service will be retired on December 31, 2009.
In preparation for the upcoming retirement date of December 31, 2009, you will need to consider an alternative application or service as a replacement for WorkSpace as well as a migration plan to the new application or service.
When choosing an alternative application or service, we wish to invite you to transition your WorkSpace workflows to another WAM!NET application or service. There are several options from which to choose and ultimately it will depend on your specific needs.
If you currently use the WorkSpace application as a means to distribute files with no requirement to retain the files in a WorkSpace Volume for any significant duration, we invite you to consider the WAM!NET® Internet Gateway or WAM!NET® Content Submission Services as an alternative solution. If your use of the WorkSpace application is storage based with a requirement to retain files in a WorkSpace Volume for an extended period of time, we invite you to use the WAM!NET® Content Studio/Review Studio application components of your Remote Storage subscription as an alternative solution.
We are confident that one of these options, or combination, will satisfy your content distribution and/or storage needs as well as provide additional features and functionality that may be advantageous and likely improve your workflows.
The decision tree below may be useful for determining what option may be best suited for your workflow.
An overview of each application or service follows to include a guide to how each may translate to your workflow needs. Additionally, links to detailed Service Description documents are made available.
With Internet Gateway, accounts can be set up for external users to send and receive files via the Internet. Users may access the service via FTP, web-browser or client application. Users can receive delivery notifications and have easy access to package tracking. Files are automatically purged from Internet Gateway accounts after 10 days so there are no administration requirements for data cleanup.
Internet Gateway as an ideal solution to replace WorkSpace if your workflow includes the following aspects:

Content Submission Services provides the ability for users to send files to you. Users may access the service via FTP, web-browser or desktop icon. Files are delivered to your WAM!NET Purple Box, or Internet Gateway Account if your configuration does not include a Purple Box. You will receive delivery notifications of new files received and also have easy access to all your transfer history.

If your workflow is storage based with a requirement to store files for an extended period of time, more than 10 days, Content Studio/Review Studio is the alternative application to replace WorkSpace.
Content Studio is an application component of the WAM!NET Storage Service, a much more sophisticated and feature rich application than WorkSpace. Utilizing Content Studio, files can be stored in libraries with descriptive attributes and previews and may be shared with authorized users. Customers can browse their libraries or search for files. Each library can be configured with different permissions for file uploading, file downloading, modification or deletion. Access control is managed by the Administrators who can create users, assign users to groups and manage group access to specific libraries. There are several interfaces available to upload content into Content Studio, to include web-browser, WAM!NET® Transmission Director X and Content Submission Services.
You may also opt for WAM!NET® Review Studio, an application based upon a Content Studio customization designed to streamline workflow in a way that subscribers can securely distribute content to any number of recipients via email messages with embedded links to a secure web site.

After determining which application or service you will transition to, a migration plan will be necessary. The migration plan should include the following considerations:
-
Stored Assets:
any assets stored in WorkSpace Volume(s) may, or may not, need to be migrated. If not, to retain those assets they must be copied to another device. If you have chosen to migrate to Content Studio/Review Studio you will need to determine how the assets should be stored in libraries.
-
Users and Permissions:
a plan for setting up your various user groups and how they will be permissioned for the new application or service.
-
Training for Administrators and Users:
training requirements can range depending on the size and knowledge of your user base and the application or service to which you are migrating.
-
Cutover to new Application or Service:
plan for a cutover date well in advance of the WorkSpace Retirement date of December 31, 2009. If you have a large user base you may want to considering migrating certain user groups at a time rather than all at once.
-
Turn down WorkSpace Volumes:
as a last step to the migration plan you will need to inform us when it is time to turn down your WorkSpace Volumes. Simply contact us
when you are ready for that step to take place.
-
Service Subscription:
If you decide to choose one of the WAM!NET applications or services as an alternative to WorkSpace, it is likely that there will be little to no change to your WAM!NET Service Subscription. In the event that subscription changes are required, there may be a small amount of paperwork to ensure our internal systems track accordingly and that you are invoiced properly.
SAVVIS is here to help. We will do what we can to assist you in migrating to the new application or service. Contact us
to discuss your specific migration needs.
